💳 Accept Payments: Settings and Payment Profiles

By providing a convenient payment option, businesses can cater to a wider range of customers, including those who prefer cashless transactions and those who may spend more with credit cards. Additionally, accepting credit cards can streamline accounting processes and enhance customer trust.

Your sales reps can securely capture credit card information to be charged at a later time—a helpful tool for streamlining the order process. To enable this feature, follow the steps below:

Step 1: Set Up a Payment Processor
Before enabling credit card capture, you must have an active account with one of our supported payment processors. You can find the list of supported providers here.

Step 2: Enable Payment Settings in WebManager

1. Log in to WebManager
2. Navigate to Accept Payments > Settings

On the left side of your screen, you'll see two dropdown menus:

• Payment Provider
• Credit Card Payments Enabled?

🔹 Note: Each payment provider may have different required settings. Screenshots included in this article may not represent all payment providers.

Step 3: Select and Configure Your Payment Provider

1. In the Payment Provider dropdown, select your payment processor
2. The fields on the right side of your screen will adjust based on your selection:
   • SecureNet will require a SecureKey and SecureNetId
   • Authorize.Net will ask for an APILogin and Transaction Key
   • Other providers will display different required credentials
3. Enter the requested credentials, which can be found in your payment processor account
4. Set Credit Card Payments Enabled? to True
5. Click the green Save Payment Settings button to apply your changes

Once complete, your sales reps can begin securely capturing credit card information using the RepZio app.

Managing Credit Card Information
To review stored credit cards:

1. Go to Accept Payments > Payment Profiles

You’ll see the following columns:

• Actions: Edit expiration dates and CVV2 codes, or delete cards using the red trash can
• Customer Number
• Card Name
• Card Last 4
• Exp Date

You can also:

• Use the Search Customer Number field (top left) to locate cards by customer number
• View stored credit cards on the individual Customer Details page within WebManager

⚠️ Important

• PCI Compliance: Credit card information must not be included in the Notes section of orders. Any card data entered in the Notes field will be automatically removed upon submission.

❓ FREQUENTLY ASKED QUESTIONS (FAQS)

Q: Why can’t I see the “Credit Card Payments Enabled?” option in my settings?
A: This option will only appear once you’ve selected a payment provider. If it's still not showing, double-check that your account is properly set up with the selected provider and refresh the page.

Q: What happens if I enter incorrect payment processor credentials?
A: If your credentials are invalid, credit card capture will not work. Be sure to double-check your API keys or IDs directly from your payment processor’s portal. Incorrect credentials may result in failed transactions or errors when capturing card data.

Q: Can I use multiple payment processors at once?
A: No. You can only have one active payment processor at a time within WebManager. If you need to change processors, update the “Payment Provider” field and re-enter the correct credentials.

Q: Can I charge the credit card immediately after it’s captured?
A: The RepZio app allows your reps to securely store credit card data for later use. Charging the card typically happens through your integrated payment processor or back-office system. Check with your processor for the correct workflow.

Q: Who can see the saved credit card information?
A: Only users with appropriate permissions in WebManager can view stored card details (like last four digits, expiration date, and cardholder name). Full credit card numbers are never visible for security reasons.
