In today’s dynamic retail environment, you may need to assign multiple reps to a single territory, designate a senior rep to oversee others, or add assistant reps in higher-volume markets. On the RepZio platform, we refer to these roles as Parent Reps (senior) and Sub-Reps (secondary or assistant).

Step 1: Add All Reps to WebManager
Navigate to: WebManager > Sales Reps > View/Edit Sales Reps
Ensure that all Parent and Sub-Reps are entered into the system. Required fields for each sales rep include:

First Name

Last Name

Phone Number
-
Rep # (each rep must have a unique number - do not include spaces or special characters)

Email Address

License Type (Managing Sales Reps & Licenses)
⚠️ Important: If a sales rep works across multiple brands, using different email addresses for each account may cause sync issues and require frequent logins/logouts. To avoid delays and data conflicts, confirm with the rep which email should be used before setup.

Step 2: Assign the Parent Rep

Click on a sub-rep’s name to open their Sales Rep Details page.

Click Edit Rep.

In the Parent Rep dropdown, select the appropriate Parent Rep.

Click Save Changes and Push Data Live.

What Happens Next?

Parent Reps can view all customers and orders associated with their Sub-Reps.
-
Sub-Reps can only view their own assigned customers and orders—they cannot access the Parent Rep’s data.

Q: Can a rep be both a Parent and a Sub-Rep?
A: No. A rep can only hold one role at a time—either a Parent or a Sub-Rep. Assigning a rep to both roles can cause visibility and access issues.

Q. Can reps share rep numbers?
A. No. Reps should never share rep numbers. Doing so can lead to customer assignment errors and will require cleanup by the brand’s admin.

Q: Do I need a separate license for Sub-Reps?
A: All reps, whether Parent or Sub, need their own RepZio license. You can learn more about license types here.

Q: Can I reassign a Sub-Rep to a different Parent Rep later?
A: Yes! Simply follow the same steps and select a new Parent Rep from the dropdown menu, then save and push data live.

Q: What if I don't see the Parent Rep I want to assign in the dropdown menu?
A: Double-check that their Parent Rep field is set to "None." Only reps without an existing parent designation appear in the dropdown.

Q: Will the Parent Rep be notified when a Sub-Rep places an order?
A: Yes—notifications are automatically sent when a Sub-Rep submits an order. The Parent Rep can also view all submitted orders from their Sub-Reps within the platform. Please note: unsubmitted orders are only visible on the device where they were created.
To send order confirmations to additional recipients (such as a manager or internal team), enter the desired email address in the CC Order Emails field during the sales rep setup.
